If there is one thing we know about tomorrow, it is that it will be different from today. And if there is one thing we know about the day after tomorrow, it is that it will be different from tomorrow. How do we cope with changing every day? Change is a constant in the business world. Managing it effectively without burning out is crucial for long-term success. The Prosci change management method offers a series of steps and key questions to facilitate this process. Before beginning to implement a significant change within your organization, it is essential to reflect on some fundamental questions. That is why we invite you to pick up pen and paper and answer the questions we pose in this post about change management.

The Prosci change management method was developed by Jeff Hiatt nearly 20 years ago. Hiatt founded Prosci and created the model after studying change patterns in more than 700 organizations. His work has been fundamental in establishing the ADKAR Model (which I will discuss in another post). He also developed the Prosci Methodology as leading tools in the field of change management, used by thousands of leaders around the world.

The aforementioned method is a very clear, structured and adaptable process for change management. It focuses on preparing, providing resources, and supporting people so they can successfully navigate change within a company or organization. The Prosci method focuses on understanding how people experience change and how leaders can provide them with the tools to navigate that change. The methodology includes tools and processes to develop strategies and plans that increase the adoption rate.

Key questions to answer before making any change in your professional (or personal) life

  • What is the objective of the change? We often jump in headfirst because we know we need to change something, but we have not clearly defined the ultimate goal of that change. You need to define the final purpose of said change in order to achieve it. If you do not know where you are headed, how will you direct your efforts? Are you looking to improve efficiency, reduce costs, or increase customer satisfaction? Having a clear objective will help you communicate the need for change to your team and later measure its success.
  • How does this change align with the company’s vision and mission? It is vital that any change reinforces the strategic vision, values, and above all the behaviors of a company. If we go against any of these factors, the team will resist the change, plain and simple. So take the time to communicate how the change aligns with the values, vision, and behaviors. This will eliminate a lot of confusion and ill-informed gossip in the process.
  • Who are the key stakeholders and how will their professional environment change? Identify all the stakeholders involved, from senior management to front-line employees, and consider how the change will impact their roles, job descriptions, and therefore their responsibilities. The participation, involvement, and cross-functional support of stakeholders are fundamental to the success of the change and will help prevent resistance.
  • What resources will be needed? How much time am I going to invest? Do I need to purchase hardware or software? Evaluate the necessary resources, including time, money, and personnel. Properly planning resources will prevent setbacks and ensure that the change is implemented without disrupting daily operations. Customers should notice the change only in its positive aspects, without experiencing any slowdowns in BAU (Business as Usual) processes.
  • What is the communication plan? Develop a communication plan that outlines how and when employees will be informed about the change. Effective communication is essential to minimizing resistance and gaining the necessary support. Use marketing tools and hire a specialized internal communication agency if you do not have someone within the company dedicated to this.
  • How will resistance to change be managed? No matter how well you answer the previous questions and follow the entire process, resistance is a natural part of change management. Prepare strategies to handle employee concerns and skepticism, and make sure there are open channels for feedback. It is important to identify the naysayers early in the change process and bring them on board as soon as possible with the best possible attitude.
  • What is the implementation timeline? Establish a realistic and “easy to comply with” timeline with all the steps, responsibilities, milestones, and completion dates. This will give structure to the change management process, help keep everyone on track, and provide a global view of change management with its key responsibilities and dates for success.
  • How will the success of the change be measured? Finally, determine what you will consider as success for the change. Establish key performance indicators (KPIs) that will allow you to measure results and make adjustments as necessary.

Reflecting on these questions before proceeding with a change can make the difference between success and failure.

The answers you manage to write down will serve as a roadmap for navigating change effectively, ensuring that your company not only survives but thrives in a constantly evolving business environment like the one we are living in today.
